Executive and HR Assistant
The purpose of the Executive and HR Assistant is to provide comprehensive administrative and operational support to the Executive team and the People and Culture function, ensuring the smooth and efficient running of day-to-day company operations.
This role assists with executive administration, office management, and HR-related activities, including employee relations, benefits administration, and compliance with HR policies and procedures. Acting as a key liaison between leadership and staff, the position fosters a positive, engaging, and productive work environment. By ensuring that both executive and HR processes are efficient, aligned, and supportive of organisational objectives, this role contributes directly to the company’s operational excellence and overall success.

Daily Tasks
Executive Assistant
• Providing administrative support to Chief Executive Officer and Chief Operations Officer
• Managing communication, both internal and external, through phone calls, emails, and other channels.
• Generate and manage executive reporting
• Working with COO to implement, manage and monitor operational processes.
• Assisting CEO & COO with executive tasks and documentation.
• Understanding and being up to date with NDIS provider requirements
• Maintaining and organising records, documents, and files including taking meeting minutes for team meetings, board meetings, etc.
• Implementing effective filing systems to ensure easy retrieval of information.
• Managing office supplies and ensuring that necessary equipment is functioning properly.
• Coordinating maintenance and repairs for office equipment.
• Managing calendars and scheduling appointments for CEO & COO.
• Coordinating meetings, conferences, and other events.
• Assisting with the onboarding of new employees.
• Managing employee records and documentation.
• Overseeing the physical office space, including maintenance, cleanliness, and security.
• Coordinating with external vendors for services like cleaning, security, and maintenance.
• Serving as a point of contact for both internal and external communication.
• Disseminating information within the organisation.
• Assisting in the preparation and monitoring of budgets related to office operations.
• Managing expenses and ensuring cost-effectiveness.
• Ensuring that computer systems, software, and networks are functioning properly.
HR Assistant
• Assist in Interpretation and communication of HR and NDIS policies, procedures, and employment laws to ensure consistent application across the organisation. Including implementation of Employee Booklet and providing clarity to employees and managers on policies and procedures
• Overseeing the onboarding process for new headquarters employees, ensuring compliance with required paperwork and processes and induction and setup is completed
• Assisting in the offboarding process for headquarter employees and facilitate a smooth transition
• Ensure internal documentation such as the Organisational Chart and Contact list are up to date
Position Description: Senior Executive and HR Coordinator – October 2025
• Assist with overseeing and ensuring headquarter employee compliance requirements are up to date with appropriate documentation is held on file, this includes visa checks, identification and appropriate NDIS qualifications
• Overseeing HR compliance items, including internal policies and procedures are up to date and completed by all team members
• Active involvement with Operational & HR leadership, department heads, and other relevant stakeholders on projects, initiatives, and programs within the organisation including but not limited to reward & recognition programs, onboarding guides, inclusion and diversity activations, performance review process, succession planning
• Active involvement with Senior leadership, HR and management teams to develop and implement initiatives that enhance employee engagement, satisfaction, and overall workplace culture
• Support internal and external HR-related inquiries
• Assist in advising and supporting managers, supervisors and employees with HR queries, including performance concerns, disciplinary cases and grievances
• Actively involved in developing and maintaining a comprehensive understanding of the organisation's industry-specific compliance requirements
• Work in collaboration with Recruitment, Payroll and Head of P&C for the maintenance and administration of HRIS system
• Assist with injury management and Return to Work processes in consultation with Return to Work (and relevant state bodies) and Danny Met Sally’s insurers. Ensure full compliance with all policies, standards and regulatory requirements
• Overseeing and maintaining shared inboxes, including People and Culture, Info, Feedback and Complaints inboxes
• Ensuring People and Culture registers are maintained and up to date, including but not limited to the Performance Management register and Workers Compensation Register
Organisational
• Understand and adhere to organisational policies and procedures
• Work in accordance with Danny Met Sally Code of Conduct and NDIS Code of Conduct at all times

Previous experience
• Previous experience in an administrative role highly regarded
• Strong knowledge of systems and programs
