B2B Program Coordinator
Position Overview
The B2B Program Coordinator supports the organization's wholesale operations, ensuring a seamless experience for retail partners, vendors, and internal teams. This role manages end-to-end order processing, maintains accurate product data, assists with trade show logistics, and supports marketing communications for wholesale customers. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced collectibles retail environment.
Must-Have Qualifications
Order Management & Fulfillment
- Experience entering and processing wholesale or retail orders, invoices, and confirmations.
- Ability to track open orders, backorders, and monitor shipping/delivery timelines.
- Skilled in reconciling order discrepancies, including shortages, overages, and damages.
- Familiarity with handling returns, exchanges, and sample requests.
Customer & Vendor Support
- Proficiency in maintaining accurate customer and account data within ERP or CRM systems (e.g., NetSuite).
- Experience supporting vendor or customer onboarding, including account setup.
- Strong communication skills to provide responsive customer service and resolve B2B issues.
- Capacity to learn and manage customer/vendor portals (e.g., Urban, Indigo).
Product & Pricing Maintenance
- Proven ability to update and manage product catalogs and wholesale price sheets.
- Attention to detail for ensuring accurate product listings (SKUs, images, descriptions).
- Understanding of inventory monitoring and low-stock reporting.
Data & Reporting
- Competency in pulling and interpreting weekly/monthly sales and performance reports.
Trade Show & Event Coordination
- Experience managing event calendars, deadlines, and exhibitor documentation.
- Strong logistical skills for booking travel, managing booth details, and coordinating post-show activities such as lead follow-ups and sample shipments.
Systems & Documentation
- Ability to create and maintain SOPs and process documentation for onboarding and vendor workflows.
- Strong organizational and time-management skills.
Marketing & Communication
- Experience drafting and scheduling email campaigns or newsletters for wholesale audiences.
- Basic familiarity with email platforms such as Mailchimp, Klaviyo, or similar tools
Nice-to-Have Skills
- Experience in the collectibles, pop culture merchandise, or retail industry.
- Familiarity with trade show management platforms and B2B eCommerce systems.
- Working knowledge of graphic design tools (e.g., Canva, Adobe Creative Suite) for lookbooks or digital catalogs.
- Understanding of pricing strategy or wholesale margin analysis.
- Prior use of NetSuite or similar ERP for order and inventory management.
- Experience coordinating with marketing or creative teams for product launches and seasonal campaigns.
- Ability to assist with system integrations between ERP, CRM, and vendor portals.
